Record an expense
Snap the receipt, choose a category, the amount and the tax - in one category or split into several.
Go to Expenses > + New expense, or Snap a receipt to open the camera on a phone.
The receipt
- On a phone, tap Open camera and photograph the receipt.
- On a computer, click the box or drop photos and PDFs on it (up to 10 MB each).
- You can attach more than one receipt and remove one while the expense can still be changed.
The details
- Date of the spend and the Merchant (where you spent it). Merchants you used before are suggested.
- Category, for example Travel, Lodging or Meals. Each category books to an expense account. See Expense settings.
- Amount paid (with tax): the total on the receipt.
Tax
When your business is registered for tax, enter the rate on the receipt. The tax inside the amount is worked out for you.
- Leave can be claimed back on to book the tax as input credit. Turn it off and the tax becomes part of the expense's cost.
- India: tick Bought from another state (IGST) for an inter-state purchase. Otherwise the GST is split into CGST and SGST.
Split one receipt
Turn on Itemise to split the receipt into lines, each with its own category, amount and tax rate. For example, a hotel bill can be split into lodging and meals.
Other currencies
Choose the Currency on the receipt. The exchange rate for that day is filled in; change it if your bank used a different one. The expense is claimed in your own currency.
Who paid
- I paid - pay me back: the business owes you this amount once the report is approved.
- The business paid: choose the cash or bank account it came from. Nobody is paid back for it.
Customer, project and billable
Pick the Customer or Project the expense is for, and turn on Billable to charge it to them. Approved project expenses count in the project's costs in Ellibo Projects, and billable ones can be put on the client's invoice there.
Change or delete
You can change or delete an expense until its report is sent for approval. After that, recall the report first.
