Invoices from hours

Bill approved hours, how rates are chosen, and what happens when you void an invoice.

This is on the Professional plan. Admins and Finance can use it. Go to Invoices.

What can be billed

Ready to bill lists each client with approved, billable hours that aren't on an invoice yet:

  • time on your client jobs
  • time on hourly projects, by Projects' own billing rules, when your Projects plan has billing

A project with a fixed fee is never billed by the hour. Field job and ticket time stays billed with the job or ticket in those apps, so nothing can be billed twice.

How the rate is chosen

Timesheets looks in this order:

  1. the job's Rate an hour
  2. the person's Bill an hour
  3. the Default bill rate in Settings

Time with no rate at all shows in red under the client. It can't be billed until you set a rate on the job or person.

Make an invoice

  1. Tick the lines to bill.
  2. Click Make invoice.
  3. Check the Date, and set Due in (days) if you want. Empty uses the client's usual days.
  4. Add Notes if you want, and click Make invoice.

You get one invoice with a line for each job and rate. Each hourly project gets its own invoice, so the project's profit stays right.

The invoice is in your books, with your numbering and tax. Every Ellibo app of the business shows the same document. If your books are locked for that date, it can't be made.

After you make it

Find it under Invoices made. From the invoice you can record a payment, email it to the client, and get a PDF.

Time on an invoice shows as Invoiced. It can't be changed or billed again, and its week can't be reopened.

Void an invoice

Open the invoice and void it. Its hours are free again and return to Ready to bill. Their week can be reopened if the time needs correcting.

Invoice designs, numbering and tax are under Settings.
