Security and verification
How signers are checked, what the audit trail records, the digital seal, and how to check a signed PDF.
Checking who signs
Every recipient gets their own private link by email. For more important documents, choose on the recipient (More options):
- Code by email - a 6-digit code sent to their email when they open it.
- Code by SMS (Professional) - sent through your own SMS connection (CRM > Settings > WhatsApp & SMS). With MSG91 in India, add your DLT-approved flow ID in Settings > Signing & security.
- Access code - a code you tell them yourself, by phone or message. Never put it in the same email.
Before they start, signers agree to sign electronically (you can change the wording or switch it off in Settings > Signing & security).
The audit trail
Every step is recorded with the time and IP address: sent, emailed, opened, codes checked, agreed, signed, approved, declined, passed on, reminded, completed. It is on the document page and in the certificate.
The signed PDF
When everyone has finished, Sign makes the signed PDF:
- the fields and signatures burned into the pages, with the document number on each page;
- files signers attached, added at the end;
- a certificate of completion: the document, the original files' fingerprints, each recipient with how they were checked, when they opened and signed, their IP address and device, and the full history;
- a digital seal: a PDF reader shows the file was not changed after it was sealed.
Check a signed PDF
Anyone can check a copy at www.ellibo.com/sign/verify.php. The file stays on their device; only its fingerprint is checked. A genuine copy shows the document, the business, who signed and when.
Is it legally valid?
Electronic signatures are valid for most business documents under the Information Technology Act, 2000 in India, ESIGN and UETA in the US, and eIDAS in the EU. A few documents still need a handwritten or special signature (for example wills, powers of attorney and property sale deeds in India). Check with your adviser for your documents.
