Tasks and task lists

Add tasks fast, give them owners and dates, break them into subtasks, and make tasks repeat or remind you.

Every project starts with a General task list. Project managers add more lists with + Task list (for example Design, Build, Launch) and can link a list to a milestone.

Add tasks

  • Type in Add a task and press Enter at the bottom of a list. With Mine ticked, the task is given to you.
  • Or click + Task for the full form: project, task list, owners, dates, priority and description. Tick Add another to add several in a row.

The task panel

Click a task to open its panel. Every field saves as soon as you change it:

  • Status, Owners (one or several), Start date, Due date, Priority, % complete, Work hours (planned), Task list and Tags.
  • Repeat: daily, weekly, monthly or yearly, every N, ending never, after a number of times or on a date. The next task is made when this one is closed, or once its date has passed.
  • Reminder: on the due date, some days before, or on a date and time. Owners get it in the bell and by email.
  • Description, Subtasks (they can have their own subtasks), Checklist, Files, Comments and History.

The tick next to the name closes the task. If it has open subtasks you're asked whether to close them too (change this in Settings > Business settings > General).

The ... menu has Copy link, Make a copy (with subtasks and checklist), Move (to another list or project) and Delete (to the recycle bin).

Who can change a task

  • Project managers can change every task.
  • Employees can add tasks, change the tasks they own or added, and comment on any task.
  • Contractors see and change only the tasks they own, added or follow.

Several tasks at once

In the list view, tick tasks to set their status, add an owner, set priority or due date, move them to another list, or delete them.
