Users and roles

Who can use Projects, their role in the app and their role in each project.

Admins open Settings > Users & roles to give people in the business a Projects role, or invite someone new by email.

Roles in Projects

  • Admin: everything, including users, settings and the plan. The business owner is always an admin, and only the owner can make someone an admin or change an admin's role.
  • Manager: creates projects and manages every project, templates and settings.
  • Employee: works in the projects they are added to.
  • Viewer: read-only - the projects they are added to and public projects.

Roles in a project

On a project's Members tab, project managers add people and choose:

  • Project manager: the project's details, members, lists, milestones and every task.
  • Employee: adds tasks, changes the tasks they own or added, comments on everything.
  • Contractor: sees and changes only the tasks they own, added or follow.

Giving a task to someone who isn't a member adds them to the project as an employee.

Job titles and working hours

On Settings > Users & roles you can also give each person a Job title (Designer, Developer...), their Hours a day, their Rate / hour (what their time is billed at on staff-hours projects) and their Cost / hour (what their time costs you - it makes each project's profit). A job title is only a label - it gives no extra rights - and lets you filter the workload chart. See Workload and work calendar.

Plans

Projects is priced per user. The Free plan has 3 users and 2 active projects; the Standard plan is for teams of up to 50 users, and the Professional and Business plans have no user limit. See Plan & Billing.
