Personal data and GDPR requests
When a customer asks what you hold about them, or asks to be forgotten. Find them by email or phone in every Ellibo app, download their data, erase them, and keep their consent history.
Privacy laws such as the EU and UK GDPR and India's DPDP Act give people the right to see the data a business holds about them, get a copy, and ask for it to be deleted. The Personal data page answers these requests for every Ellibo app at once: CRM, Accounting, Inventory, Subscriptions and POS.
Only the business owner and admins can open it.
Find a person
- Open My Organization, click Manage (Organization Profile), then Personal data (GDPR). In CRM you can also go to Settings › Security & audit › Data & export.
- Type their email, their phone number, or both, and click Find. Both is best: some records have only an email, others only a phone number.
You see each place they are in: leads, contacts, customers, invoices and quotes, emails, WhatsApp and SMS messages, calls, meeting bookings, POS customers, POS bills and invoices, table reservations, and notes on their records.
A company that just lists the person's email, for example, isn't the person. Untick that line, and it is left out of the download and the erase.
Give them a copy
Click Download their data (ZIP). You get one spreadsheet (CSV) for each place they are in, plus a short note saying what is in the file. Send it to them safely, for example as a password-protected file.
Erase them
Type ERASE in the box and click Erase. This cannot be undone, so download their data first if they also asked for a copy.
- Leads are deleted, with their notes, files, emails, messages and call recordings.
- Contacts, customers, bookings, POS customers and reservations are kept as "Erased", with no name, email, phone or address. Your deals, totals and reports still add up.
- Invoices and bills are kept, as tax law requires. Their email and phone number are removed.
- Their email stays on your unsubscribe list, so they never get mass email from you again.
Consent
The Consent box shows their history: unsubscribes and "allow again" in CRM, the POS offers opt-in, and anything you recorded yourself. To record consent you got another way, for example on a paper form at the counter, choose what it is for (all marketing, email, SMS, WhatsApp or calls), choose Given or Withdrawn, add a note and click Record.
The record of requests
Every download, erase and consent you record is listed under Requests handled, with the date and who did it. The person is shown masked, like p•••@gmail.com, so the list itself doesn't keep their details.
Your own account data
Anyone can download what Ellibo holds about their own account: click your name at the top right, choose My Account, then Download my data. To close your account, use Delete my account on the same page.
