Attendance and shifts
Clocking in, how each day is worked out, corrections, shifts and rosters.
Clock in and out
Go to Attendance and press the button. The app works out whether it is a clock in or a clock out from the last one, and asks you to wait a minute if you just pressed it.
You can limit clock-ins for each location:
- Within a distance - the person must allow their location, and be inside the distance you set.
- From your office network - only from the addresses you list.
These limits apply to a person's own phone or computer. A kiosk is placed by you, so they don't apply there. See Kiosks and devices.
How a day is worked out
Each day is worked out from clock-ins, approved leave, holidays and the shift, in this order:
| The day | Shows as | Paid |
|---|---|---|
| Approved leave | Leave | Yes, if the leave type is paid |
| Approved on-duty request | On duty | Yes |
| Clocked in for a full day | Present | Yes |
| Clocked in for at least a half day | Half day | Half |
| Clocked in for less than that | Absent | No |
| Clocked in and half a day of leave | Half leave | Yes |
| Week off or holiday, not clocked in | Week off or Holiday | Yes |
| Nothing | Absent | No |
Someone who forgot to clock out counts as present until it is corrected. Work on a week off or holiday still shows as that day, and is paid.
The app also works out minutes late, minutes early and overtime from the shift, and takes off an unpaid break.
People who never clock in aren't marked absent by accident. If nobody uses attendance, nobody loses pay because of it.
Corrections
Under Attendance, ask for one of these, with a reason:
- Correction - a time in or out for a day that has passed.
- On duty - you were working away from your usual place.
- Permission - time out during the day, with when you leave and return.
Requests go through the same approvals as leave. Once a pay run has used a day, it is locked and can't be changed.
Shifts
Add shifts in Settings, from Standard. A shift has:
- start and end times, which can cross midnight
- a break, paid or unpaid
- grace minutes for arriving and leaving
- minutes for a full day and a half day
- when overtime starts
- week offs
- an allowance for each day worked on it
A night shift's day is the day it starts.
Rosters
From Standard, plan who works what under the roster. Set a shift or a day off for one person on one day, or rotate people through a pattern for up to three months at a time. People are told when their shift for today or a later day changes.
Overtime
Overtime reaches pay only when a manager or HR approves the minutes. See Run payroll.
Reports
The monthly muster shows everyone's days at a glance. See Reports.
