Salaries and pay lines
Pay lines, salary templates, setting a salary, rises, and one-off amounts.
Salaries are on the Professional plan, and in the free trial. Only the Admin and Payroll roles can see them.
Pay lines
A pay line is one row on a payslip. A new business starts with basic, housing allowance, other allowance, bonus, commission, tips, overtime, shift allowance, arrears, leave encashment, expense claims, loan repayment and other deductions.
Add your own, and choose how each is worked out:
| How | What it does |
|---|---|
| Fixed | The same amount each month |
| Percent | A share of monthly cost |
| Formula | Numbers, + - * / and brackets, with pay codes such as BASIC*0.4 |
| Balance | What is left of the monthly cost after the other lines |
| Entered | You enter it each month |
For each line, you also say whether it is taxable, whether it changes with paid days, and which account it books to.
A formula can use CTC and the code of any earlier line. A code that doesn't exist gives an error, so a typing mistake can't count as zero.
Salary templates
A template is a list of pay lines. A new business has one called Standard. Enter a yearly cost, choose a template, and the app works out the monthly lines.
Set someone's salary
Open Salaries, choose the person and enter:
- the date this pay starts
- a yearly cost and a template, or your own monthly lines
- a reason, if you want one
A new salary doesn't replace the old one: each has its own start date, and a run uses the one in force.
A back-dated rise
If the date falls in a month already paid, the next regular run adds the difference as Arrears. You don't work it out yourself.
One-off amounts
Add a bonus, commission or deduction for one person and one month. It goes in that month's run. You can remove it until the run is approved.
Expense claims and commission
Expense claims and CRM commission can be brought into a pay run. See HR with your other apps.
Tips
If you pay tips through salary, add them by hand as a one-off amount on the Tips pay line. HR doesn't take them from POS, because POS settles tips itself and they could be paid twice.
Tax outside India
Outside India, you enter your country's rules once, under Settings > Tax & contributions. The app doesn't come with other countries' rates, so please get them from your tax authority or accountant, and update them when they change.
Income tax tables. Add the bands: each percent applies only to the part of pay in that band, like the tax tables most countries publish. Choose whether the bands are for a year or a month of pay, and enter any tax-free amount. Mark one table as the default. To tax a person differently, choose another table on their Bank & tax page, or give them a fixed tax %. A fixed % is used instead of any table.
With yearly bands, a year's tax on regular pay is spread over twelve months. A bonus or overtime is taxed in full in the month it is paid, at the rate it reaches on top of the year's pay. Tax isn't evened out at the end of the year, so please compare the totals with your accountant.
Social contributions. Add social security, pension, health or similar, with the employee % and the employer %. You can set a pay limit per month or per calendar year. The employee share comes off pay, and can come off before tax. The employer share is added to your cost. Both go to Payroll Contributions Payable in your books. To leave someone out, turn off Social contributions apply on their Bank & tax page.
