Users and roles
Who can do what in HR, why sign-ins are free, and people with no sign-in.
Go to Settings > Users & roles. Only an Admin can change them.
HR is priced per employee, so every sign-in is free.
Roles
| Role | What they can do | Sees pay |
|---|---|---|
| Admin | Everything: people, time, pay, hiring, users, settings and the plan | Yes |
| HR | People, leave, attendance, shifts, hiring, performance, learning and cases | No |
| Payroll | Salaries, pay runs, payslips, tax and loans, and reads employee records | Yes |
| Manager | Their own team: approves leave and corrections, reviews and goals | No |
| Employee | Their own profile, leave, attendance, payslips, goals and courses | Their own |
| Viewer | Sees people and reports, and changes nothing | No |
The business owner is always an Admin. A role in another Ellibo app gives no access to HR.
Why Payroll is separate
Pay is kept apart on purpose. HR and managers can run leave, attendance and reviews without seeing anyone's salary. Your accountant can use the Payroll role to run pay without changing your settings. Give someone both jobs by making them an Admin, or use a custom role.
Invite someone
Enter their email and role, and click Invite. Link them to their employee record, so they see their own leave, attendance and payslips.
People with no sign-in
Someone doesn't need a sign-in to be an employee. They can clock in at a shared kiosk with a PIN. See Kiosks and devices.
Custom roles
On Business, make up to 20 roles, choosing from:
- add and change employee records
- leave, attendance and shifts for everyone
- salaries, pay runs and tax
- hiring
- performance, learning and surveys for everyone
- approve for their own team
- see all people and reports
- change HR settings, but not users or the plan
If you delete a custom role, the people in it become Employees.
Plan & Billing
Admins manage the plan under Plan & Billing. See Free trial and plans.
