Leave and holidays
Leave types, balances, asking for leave, approvals and holidays.
Ask for leave
Go to Leave and click Ask for leave. Choose the kind of leave and the dates, and half a day at either end if the leave type allows it. The app counts the days for you: week offs and holidays don't count, unless the leave type says they do.
HR, or a manager for their own team, can ask on someone's behalf. HR can also enter leave as already agreed.
You can't ask when:
- there is already a request on those dates
- the balance is too low, for paid leave that can't go below zero
- the leave needs more notice, or is longer than the type allows at once
- the dates fall in a blackout period
- the dates are all week offs or holidays
HR can enter leave during a blackout, to allow an exception.
Approvals
A request goes to the person's manager. With two levels turned on in Settings, HR decides after the manager. If someone has no manager with a sign-in, HR decides. Nobody can approve their own leave, except an Admin.
Waiting requests show under Approvals.
When leave is approved:
- The days come off the balance.
- Attendance shows leave on those days.
- If the person uses Field Service, no job gets planned for them while they are away. See HR with your other apps.
Cancel leave
People can cancel their own requests, and managers and HR can cancel for those they look after. Cancelling approved leave gives the days back. If a pay run has already used those days, ask Payroll to adjust it.
Leave types
A new business starts with casual leave, sick leave, earned leave, compensatory off and loss of pay. Change them in Settings. For each type you can set:
- Paid or unpaid. Approved unpaid days reduce pay.
- How it is earned - none, a number of days each year, or a twelfth each month. You can add more days by years of service.
- Carry forward - how many days move to the new year. The rest lapse.
- Half days, going below zero, notice needed, most days at once, and when a document is needed.
- Who can take it - by gender, employee type, location or department.
- Whether week offs and holidays count.
A person who joins during the year gets a share of a yearly allowance, to the nearest half day, if the type says so.
Change a balance
HR can add opening balances, grant days (such as a compensatory day for extra work) or adjust a balance. An adjustment needs a reason. Every change is kept, and a balance is the sum of them.
Holidays
Add holidays with a date and a name, for all locations or just some. Optional holidays aren't days off by themselves. Holidays that apply to everyone can be sent to Projects and Helpdesk. See HR with your other apps.
