Invoices, payments and reminders

Every renewal makes an invoice in your books. Record payments, email receipts, and let reminders chase what's unpaid.

Invoices

Go to Invoices & Payments to see every subscription invoice, paid or not. Each one is a normal invoice in Ellibo Accounting, so your sales, tax and the customer's balance are always right.

On a subscription, the invoice list has buttons to download the PDF or email it again.

Record a payment

1. Open the subscription and click Record payment, or record it from Invoices & Payments.
2. Enter the amount, date and how they paid.
3. Save. You can email the customer a receipt.

With online payments set up, customers can pay with a Pay now link from their invoice or the customer portal, and the payment is recorded for you. See Online payments.

Payment reminders

Every plan includes a payment reminder. With the Professional plan and above, reminders go out in steps, for example 1, 7 and 15 days after the due date. Set them under Settings › Business settings › Billing preferences › Unpaid invoices.

A subscription that stays unpaid past the number of days you set is marked Unpaid. It goes back to Live when the overdue invoices are paid.

Overdue at a glance

The Dashboard shows the total Overdue and the list of Overdue invoices. The Unpaid invoices report lists them oldest first, with the reminders sent.
