Estimates, sale orders and delivery challans

Quote a price, confirm an order and send goods out before you invoice. Each one turns into an invoice in one click.

These documents don't touch your books until they become an invoice.

DocumentUse it to
EstimateQuote a price before the customer agrees. Also called a quotation.
Sale OrderConfirm what the customer has ordered.
Delivery ChallanSend goods with the paperwork before you invoice, for example on approval or for a job.

Create one

  1. Go to Sales and choose Estimates, Sale Orders or Delivery Challans.
  2. Click + New Estimate (or + New Sale Order, + New Delivery Challan) and fill it in like an invoice: customer, date, items, quantities and rates.
  3. Click Save. Then email, print or share it from its page.

Turn it into an invoice

Open the estimate, order or challan and click Convert to Invoice. A new invoice opens with everything copied in. Check it and save.

The original is marked Converted to invoice, and the invoice shows where it came from. Documents that are still open show as Open.

If you also use Ellibo Inventory

  • Delivery challans are made in Inventory. There the goods leave stock with the challan and come back on a challan return, or the challan is invoiced. Sales › Delivery Challans lists the same challans, with their status, and opens them for printing. Challans made here before you started Inventory stay in the list and can still be converted to an invoice.
  • Sale Orders and Purchase Orders show how far each order has got: packed, shipped or received, and invoiced. Open an order to see each line.

Margin

Invoices, estimates and sale orders show their margin: the price before tax against the cost of the goods (your stock cost, or the item's purchase price). Only Admins and Accountants see it, and it is never printed.

Purchase orders

Purchase orders work the same way on the buying side: go to Purchases › Purchase Orders, and click Convert to Bill when the goods and the supplier's bill arrive.
