Purchase bills and payments
Record your suppliers' bills, pay them in full or in part, and keep track of what you owe.
Record a bill
- Go to Purchases › Purchase Bills and click + New Purchase Bill.
- Pick the Supplier, then enter the Date, Due Date, Supplier Bill No and Supplier Bill Date from their bill.
- Add the items with their quantities, rates and GST, just like an invoice. For a supplier in another state, IGST applies. Input GST on your bills is claimed in your GST summary.
- If you paid now, enter the amount paid and where it came from.
- Click Save.
Bills add tracked items to your stock, and the purchase price of each item updates to the latest bill.
Pay a supplier
- Go to Purchases › Payment Out and click + New Payment Out. You can also click Make Payment on the supplier's page.
- Pick the supplier. Their unpaid bills appear on the right.
- Enter the amount, date, the account you paid from and the mode.
- Settle the payment against the bills, or click Auto-fill oldest first.
- Click Save.
Money paid that isn't settled against a bill is kept as an advance on the supplier's account.
Purchase orders and returns
- Purchase Orders: order goods, then click Convert to Bill when the bill arrives. See Estimates, orders and challans.
- Debit Notes: goods you send back. See Credit notes and debit notes.
- Recurring Bills: for bills that come every month. See Recurring invoices, bills and expenses.
