Customers and tags
Keep one record per customer across the POS, online orders and table bookings, group customers with tags, and give a tag its own automatic discount.
Your customers
Go to Customers › Customers. Each customer has a name, mobile number, email and address, and the Ledger shows their bills and anything they still owe.
You add a customer on the order screen with the person icon, or on this page with + New. Customers also come in by themselves:
- Online orders: when you approve an order from your online store, Ellibo finds the customer or adds them, and links the order to them.
- Table reservations: when you seat a guest, Ellibo finds the customer or adds them, and puts them on the order. See Table reservations and waitlist.
The list shows where a customer first came from (Online order or Reservation). Customers added on the POS have no label.
One customer, one record
Ellibo looks for an existing customer first, so the same person isn't added twice:
- By mobile number. The number is compared in full, with its country code. A number typed without a country code is taken as a number in your business's country. In India, for example,
+91 98450 12345,098450 12345and9845012345are the same customer. A number from another country, such as+44 7700 900123, is never mixed up with a local one. - By email, when there's no mobile number or it isn't found. Capital letters don't matter.
- Otherwise a new customer is added.
When Ellibo finds a customer, it only fills in what's missing, such as an email address. It never changes their name or anything you already saved.
Online orders placed before this was turned on are linked to customers by themselves, a few hundred at a time, within a few hours.
Offers permission
Your online store checkout and your table booking page have a tick box: Send me offers and news from your business. It's never ticked for the guest. When a guest ticks it, their customer record shows Offers in the list. Send offers only to customers who asked for them.
The online store checkout also asks for an email address, which is optional for guests. It helps Ellibo recognise returning guests, and it's kept on the customer record.
Tags
Tags group customers, for example VIP, Corporate, Staff or Regular.
- Go to Customers › Tags and click + New.
- Enter the Tag Name, and a description if you like.
- Click Save.
To tag a customer, tick their tags when you add or edit them, on the order screen (the person icon) or under Customers › Customers.
Automatic discount by tag
A tag can carry its own discount. Customers with that tag get it on the bill by themselves.
- Go to Customers › Tags and open the tag, or create one.
- Under Automatic Discount, choose Percentage (%) or Fixed amount, and enter the discount, for example
10. - Click Save. The Tags list shows each tag's discount.
When you put a customer with that tag on an order, the discount goes on the bill and the order shows it next to the discount, for example Discount: 52.50 (Corporate 10%).
- Two tags with discounts: the one worth more on this bill is given. If the bill grows, Ellibo switches to the better one by itself.
- A discount given by hand stays. If the bill already has a discount you gave, Ellibo keeps it and tells you about the tag discount.
- Staff can change or remove it with Discount, like any discount. Once removed, it doesn't come back on that order unless you choose the customer again.
- Changing the customer takes the old customer's tag discount off. Going back to Walk-in removes it too.
- Captains can't give discounts, but a customer's own tag discount still goes on their table's bill.
The tag discount works exactly like a normal bill discount. It comes off before tax, and it shows on the receipt and in your reports and Day Close as a discount. The bill remembers which tag the discount came from.
