Workflows
Emails, notes and calls to your other software that happen by themselves, when a subscription starts, renews or is cancelled, or days before a trial ends.
Workflows are in the Professional plan and above.
Make a workflow
- Go to Settings › Workflows and click New Workflow.
Choose When it runs:
- when something happens: a subscription is added, starts, renews, changes, is paused or resumed, is cancelled for the end of the term, ends, expires, is reactivated or goes Unpaid, or a payment is received;
- Days before a trial ends or Days before a renewal, with how many days.
- Optionally limit it to one plan.
Add up to 5 actions:
- Email the customer: a subject and message.
- Email the team: the admins, or the subscription's salesperson.
- Add a note to the history of the subscription.
- Send to a web address: we POST the subscription as JSON to the address.
- Click Save workflow.
In emails and notes, these words are replaced: {customer}, {subscription_no}, {plan}, {status}, {next_date}, {trial_end}, {mrr}, {invoice_no}, {amount}, {salesperson}, {business}, {portal_link}.
Examples
- Trial ending: 3 days before a trial ends, email the customer "Your trial of {plan} ends on {trial_end}".
- Welcome: when a subscription starts, email the customer a welcome and add a note.
- Win-back alert: when a subscription is cancelled for the end of the term, email the salesperson.
How they run
- Event workflows run straight after the change is saved. Each event runs a workflow once, and a change that was undone runs nothing.
- Dated workflows run once a day per subscription, in the hourly job.
- Latest runs shows what each run did. Turn a workflow off to pause it.
