Shared stock with Inventory

If you also use Ellibo Inventory, POS and Inventory can work from one stock count for the warehouse you choose. Billing works as usual.

Shared stock is optional. When it's on, Inventory holds the count for one warehouse and POS follows it. Your staff bill the same way as before.

What happensThe result
You sell in POSPOS goes down straight away, Inventory within about 5 minutes
A customer returns goods in POSBoth go back up
You receive goods in InventoryPOS shows the new count within about 5 minutes
You buy or adjust stock in POSInventory follows within about 5 minutes

If a sync is late, nothing stops a bill. The counts catch up on the next run.

Before you start

You need Enable Stock Tracking on in Billing settings, and Ellibo Inventory started for this business.

Turn it on

  1. Go to Settings › Shared stock with Inventory. Only admins can turn it on.
  2. Choose the warehouse POS sells from.
  3. Review your items. Ellibo matches them by barcode, then code, then exact name. For each POS item you can pick an Inventory item, Create in Inventory, or Don't share.
  4. Where the two counts differ, choose which Count to keep. Inventory's count is selected for you.
  5. Click Turn on shared stock.

A new item created this way starts with its POS count as opening stock. Check its tax rate in Inventory, because it starts at zero.

If a POS item and an Inventory item use different units, such as kg and pieces, you see a warning. Only link them if they mean the same quantity, because counts aren't converted.

What isn't shared

  • Items that use batches, serial numbers or bundles in Inventory, because POS can't say which batch was sold.
  • Combos themselves. Their items are counted instead.
  • Raw materials and recipes for restaurants.
  • Items you marked Don't share. They keep their own count in POS.

While it's on

  • Billing: Allow billing when stock is low is switched on, so a late count never stops a cashier. A count can go below zero until it's corrected. Online and QR orders still stop at zero.
  • New products: a product you add later shows under New POS items not shared yet until an admin saves it.
  • The stock ledger: a change that came from Inventory shows as Inventory Update.
  • Plan: if your Inventory plan ends, POS keeps billing and the counts catch up once it's renewed.
  • Sync now: updates the counts straight away, without waiting for the next run.

Turn it off

Click Turn off shared stock. Both counts stay as they are, and from then on POS and Inventory each keep their own. Allow billing when stock is low goes back to how you had it.
