POS sales in the books

If you also bill with Ellibo POS, every POS day reaches your books by itself - sales, money taken, refunds, purchases and expenses. Nothing to switch on.

When a business uses both Ellibo POS and Ellibo Accounting, POS days are posted to the books every hour. POS keeps working exactly as before; it is only read.

Posting starts on the day the business first uses both apps. Earlier days are not added, so nothing you typed in by hand is counted twice.

What you'll see in Accounting

  • Sales. One sales invoice for each POS day, to the customer POS walk-in customers, with one line for each tax rate. A bill or invoice that carries the customer's tax number gets its own invoice to that customer, so it shows up correctly in your tax returns.
  • Money taken. One payment for each payment method and day. Cash goes to your cash account. Card and other non-cash payments go to POS Card & Online Receipts, a bank-type account. When the money reaches your bank, move it there with a transfer.
  • Dues. A bill left as a Due stays unpaid on that day's invoice until POS collects it. The payment is then recorded on the day it came in.
  • Returns and refunds. A credit note for each day. The money paid back is recorded as a refund. The part set against a Due clears that Due instead.
  • Purchases. Each purchase becomes a bill to the vendor, with its payments, returns (debit notes) and refunds received.
  • Expenses. Each POS expense, including cash paid out of the drawer, becomes an expense under an account with the category's name.

Your reports, tax returns, cash and bank balances and customer balances include all of it.

Changing a POS entry

Entries posted from POS are read-only in the books. Change the bill, return, purchase or expense in POS. The day is updated here on the next run, and the old version is replaced, not added twice.

Days on or before your books lock date are never changed. If POS changes such a day, it is listed under Days that need a look.

The POS Sales in the Books page

Go to Settings and open POS sales in the books. You can:

  1. See this month's POS sales, purchases and expenses, and when POS last posted.
  2. Click Post POS days now instead of waiting for the hourly run.
  3. Check Days that need a look for days that couldn't be posted.

Admins can also:

  • Pause posting, for example while you check something. POS keeps working; paused days follow when you resume.
  • Move Post POS days from earlier to add older POS days, up to about three months back. Don't do this for days you already entered by hand.
  • Choose which cash or bank account each POS payment method goes to, which account each POS expense category goes to, and where POS expenses are paid from.

Plans

POS invoices never count toward your Accounting plan's monthly invoice limit. If your Accounting plan ends, POS days wait and are posted once it is renewed.

Tip

Move the card total from POS Card & Online Receipts to your bank when the payout arrives. Then Bank reconciliation matches it in one step.
