Import leads, contacts, companies and deals

Bring in your lists from Excel or CSV, or move from another CRM. Columns are matched for you, deals keep their stage and won / lost result, and records already in CRM are skipped.

  1. Open Leads, Contacts, Companies or Deals and click the import button above the list.
  2. Click Download a sample file to see the columns, or use your own file.
  3. Choose your Excel or CSV file. Ellibo matches your columns to the CRM fields. Check the matches and change any that are wrong.
  4. Choose the Owner for the imported records, or use an Owner column in your file (matched to your team by name or email). For leads, Auto-assign (assignment rules) shares them out by your assignment rules.
  5. For leads, tick Run the "A lead is added" workflows if your workflows should plan follow-ups, send emails or alert people for these leads too. It's off unless you tick it.
  6. For deals, choose the pipeline they go Into.
  7. Click Import.

People already in CRM, matched by mobile number or email, are skipped. So are companies with the same name, and deals with the same name and company. When the import finishes, click See the records to open them.

Moving from another CRM

Export your data from the other CRM as CSV or Excel. Most CRMs have an export or backup option under their settings. Then import it here in this order, so everything links up:

  1. Companies (they may be called accounts or organizations there)
  2. Contacts (people), linked to their company by its name
  3. Deals (opportunities), linked to their company and contact
  4. Leads

The column names other CRMs use are recognised, for example "Account Name", "Person - Email - Work", "Deal - Value" or "Closing Date".

For deals:

  • Stages with the same name as one of yours are kept; others start in the pipeline's first stage. Rename your stages first if you want them to line up.
  • Won and lost deals stay won or lost here, closed on their close date.
  • Amounts like $12,500.00 or 1.200,50 and dates like 15/03/2026, 2026-03-15 or Mar 15, 2026 are all read correctly.
  • A company or contact that isn't in CRM yet is created for you.

Each person gets one alert for the deals they were given, not one per deal.

Tip

Clean your list first: one person or deal per row, with mobile numbers in one column and emails in another.
