Sequences
Timed follow-up emails, calls and tasks for one person at a time, from your own mailbox, that stop by themselves when they reply.
A sequence follows up for you. For example: an email today, a second email two days later, a call the day after, and a polite last email. It stops by itself the moment the person replies, so nobody gets a follow-up after they've answered.
Sequence emails go out from your connected mailbox and land in your Sent folder, so they look and feel like emails you wrote yourself.
Create a sequence
- Go to Campaigns › Sequences and click New sequence, or open a ready-made one (New lead follow-up, Quote follow-up, Re-engage cold leads) and adjust it.
- Add steps: Email, Call or Task. For each step, choose how many days to wait after the step before. The first step's wait counts from when someone is added; 0 means right away.
For an email, write the subject and the message. Click { } for fields such as {first_name}.
- Leave the subject empty on a later email to send it as a reply in the same conversation ("Re: ..."). That's how real follow-ups look.
- A Call or Task step adds a call or task for the person who added them, due that day.
Settings:
- Weekdays only: steps that fall on a Saturday or Sunday move to Monday.
- Unsubscribe line: a small unsubscribe link under each email. Keep it on when you write to people who didn't contact you first.
- Click Save sequence. Turn it On or Off at any time.
Emails go out between 8 am and 7 pm in your business's time zone.
Add people
- One person: open a lead or contact and click Sequence, then choose the sequence.
- Many leads: on Leads, tick them and click Sequence in the bar.
- Automatically: in Workflows, add the step Start a sequence. For example, When a lead is added → Start "New lead follow-up". The emails go out from the lead owner's mailbox.
The lead or contact page shows the sequence, the step they are on, and when the next one is due. Click × to stop it for them.
When it stops
A sequence ends for a person when:
- they reply to any of your team's connected mailboxes (you get an alert);
- the email bounces;
- they unsubscribe;
- the lead is converted, marked Junk, or deleted;
- someone clicks Stop;
- every step is done (Finished).
If your mailbox stops working, the sequence waits and you get an alert. Reconnect it under My email, then click Resume on the sequence's people list or on their record.
See how it's going
Open a sequence to see how many people are in progress, have replied (with the reply rate), have finished or were stopped. Below that is everyone in it, with their step and what's next.
Plans
The Free plan runs 2 sequences at a time. Paid plans have no limit on sequences. Each mailbox's daily limit applies to sequence and mass emails together. See Mass email.
